Bill-Processing and Information Management

For many organisations, the simple act of obtaining resource data, collating related invoices across multiple sites and suppliers, and combining this with key performance measures is an arduous task. Often this information is simply processed for payment through Accounts Payable with little or no validation or visibility of payments made.

Energetics has built a resource and utility bill-processing service that combines our experience in dealing with energy, water and waste resources, and our relationships with these suppliers. Our service is designed to remove the data acquisition "headache" for our clients. With every task our team:

  • Facilitates timely payment to eliminate late fees and seek discounts for the client
  • Automates payment by providing an electronic payment file to the Accounts Payable department in client specific templates
  • Manages invoices by exception, as a clients attention is typically drawn to noteworthy invoices
  • Effectively links accounts to their correct GL Codes and Cost Centres
  • Checks invoices in detail, including:

1. Eliminating late payment interest charges
2. Identifying sites that the organisation should not be charged for (e.g. co-located sites)
3. Eliminating the possibility of duplicate payments
4. Highlighting sites that have a high average rate of consumption or production
5. Matching resource cost to facility type (e.g. have sites been classified correctly or is there something else connected to the supply?)
6. Identifying instances where the supplier hasn't billed an account according to contracted rates
7. Disputing unusually high estimate accounts
8. Trapping meter misreads and large fluctuations
